Terms and Conditions
These Terms and Conditions ("Terms") govern the relationship between you ("the Client," "you," or "the Owner") and Exec Pets ("we," "us," or "the Company") regarding the use of our website (https://www.execpets.co.uk/) and the purchase of any pet transportation services. By booking a journey with Exec Pets, you confirm that you have read, understood, and agreed to be bound by these Terms.
1. Definitions and Scope of Service

1.1 Exclusive Service: Exec Pets specialises in Pet & Owner Transportation and exclusive private pet transport. We operate on a policy of transporting one family's pets at a time. We do not mix pets from different households in the same vehicle during a journey.

1.2 Licensing: We hold the relevant UK (DEFRA/DAERA) and EU (IE/0221) transport authorisations. We operate door-to-door across the UK and Europe, utilising the Eurotunnel LeShuttle service wherever possible for safety and efficiency.

2. Bookings, Quotations, and Payment

2.1 Quotations: All quotations provided are valid for 7 days from the date of issue unless otherwise stated. Quotes are based on the information provided by you regarding the pet's breed, size, number of animals, and destination. Any material change in these details may result in a revised quotation.
2.2 Booking Confirmation: A booking is only confirmed upon receipt of a non-refundable deposit (unless otherwise agreed in writing) and our written confirmation of acceptance.
2.3 Payment Terms: The full balance must be cleared funds before the commencement of the journey. For bookings made within 7 days of travel, full payment is required immediately.

3. Client Obligations and Pet Documentation

3.1 Accuracy of Information: You warrant that all information provided regarding your pet(s) is accurate, including but not limited to: breed (including any banned breeds under the Dangerous Dogs Act 1991), weight, age, medical conditions, behavioural issues, and medication requirements. Failure to disclose a known behavioural risk (e.g., aggression) may result in refusal of service without refund.
3.2 Travel Documentation (Critical): It is the sole responsibility of the Owner to ensure that all pets have the correct and valid documentation for the intended journey. This includes, but is not limited to:
-
Microchipping
-
Valid Rabies Vaccination (waiting period observed)
-
UK Pet Passport, EU Pet Passport, or relevant Animal Health Certificate (AHC) / Export Health Certificate (EHC)
-
Tapeworm treatment (where applicable for re-entry to the UK).
3.3 Documentation Check Service: While we offer a documentation check service as a courtesy, this does not transfer legal responsibility to Exec Pets. If a pet is refused passage by Eurotunnel, border control, or veterinary authorities due to incorrect paperwork, no refund will be provided, and any additional costs (including return travel, quarantine, or re-booking fees) are the responsibility of the Owner.
3.4 Eurotunnel Compliance: You acknowledge that Eurotunnel regulations require pets to remain within the vehicle during the crossing. Our drivers are trained to manage this in compliance with safety protocols. You are responsible for ensuring your pet is fit to travel and does not pose a risk to the driver or the vehicle.

4. Pet Health, Welfare, and Behaviour

4.1 Fitness to Travel: Pets must be fit for travel. We reserve the right to refuse transportation if, upon collection, a pet appears ill, injured, heavily sedated (unless prescribed by a vet for travel and disclosed in advance), or distressed in a manner that compromises safety. In such cases, our standard cancellation policy applies.
4.2 Sedation: We generally advise against sedation as it can affect the animal's ability to regulate body temperature. If sedation is deemed necessary by your veterinarian, you must notify us in advance. We cannot administer medication unless specifically agreed in writing. We accept no liability for adverse reactions to sedatives.
4.3 Special Needs: We have extensive experience with disabled, elderly, and anxious animals. Please ensure you provide detailed care instructions at the time of booking so we can allocate the appropriate resources (e.g., additional handling time, specific bedding).

5. Liability and Insurance

5.1 Standard of Care: Exec Pets will exercise reasonable skill and care in the transportation of your pet. Our drivers are trained in pet first aid and canine behaviour. However, you acknowledge that transportation involves inherent risks, including stress, motion sickness, or injury, which cannot be entirely eliminated.
5.2 Limitation of Liability: Except in cases of death or personal injury caused by our proven negligence or fraud, our liability for any loss or damage to your pet or property is limited to the total fee paid for the specific transport service. We are not liable for indirect or consequential losses (e.g., loss of earnings, emotional distress).
5.3 Vet Intervention: In the event of an emergency, we are authorised to seek veterinary treatment for your pet. You agree to reimburse us for any reasonable veterinary costs incurred on your behalf.
5.4 Unforeseen Circumstances: We are not liable for delays, alterations, or cancellations caused by events beyond our reasonable control, including but not limited to: extreme weather, Eurotunnel technical faults or strikes, border control delays, traffic accidents, or mechanical breakdowns. We will endeavour to provide updates via WhatsApp where possible.

6. Cancellation and Refunds

6.1 Cancellation by the Client:
-
More than 14 days before travel: Deposit is forfeited; any balance paid will be refunded.
-
7-14 days before travel: 50% of the total fee is payable (or deposit retained if higher).
-
Less than 7 days before travel: 100% of the total fee is payable.
-
Failure to travel due to documentation issues: 100% of the fee is payable.
6.2 Cancellation by Exec Pets: In the unlikely event we must cancel due to vehicle failure or driver illness (and cannot provide a suitable alternative), you will receive a full refund of all monies paid. Our liability is limited to this refund.

7. Data Protection and Privacy

We process personal data (including your name, address, contact details, and pet documentation) in accordance with UK GDPR. We use this information to fulfil the transport contract, comply with legal obligations (e.g., DEFRA record-keeping), and for legitimate business interests (e.g., WhatsApp updates during transit). For full details, please refer to our Privacy Policy available on our website.

8. Governing Law

These Terms are governed by the laws of England and Wales. Any disputes arising from these Terms or our services shall be subject to the exclusive jurisdiction of the courts of England and Wales.

9. Changes to Terms

We reserve the right to update these Terms from time to time. The version published on our website at the time of your booking is the version that applies to your contract. We recommend checking this page before each booking.
